Capexo is a workspace for running ERP and other enterprise implementation projects. Each project keeps its plan, scope, RAID log, governance, delivery work, money, people and documents in one place, and the portfolio adds every project up so you can see where things stand across all of them.

This page gives you the lay of the land. Each section below links to a more detailed help page.

What it is for

  • Running one implementation from first plan to go-live: tasks, milestones, scope, build objects, risks, issues, actions and decisions.
  • Governing it: quality gates, meetings and minutes, status reports, change requests and lessons learned.
  • Delivering it: testing, training, cutover and data migration.
  • Keeping the money honest: budget lines, a cost log and a forecast at completion.
  • Seeing a portfolio of projects at once, with one budget total in your reporting currency.

How the app is laid out

The app lives at app.projectcapex.com. It has three levels: a company (or client), the projects inside it, and the modules inside each project.

  • Home opens on My work: what is overdue, what is due this week, what is waiting on you, your risks and issues, and agent proposals. See Home and My work.
  • Portfolio is the second tab on Home, and also its own page with drill-down dashboards. See Portfolio overview.
  • Projects (called Clients if you run projects for several clients) lists every company with its projects as cards. See The Projects page and project cards.
  • Inside a project, the left-hand menu has eight entries: Overview, Plan, Scope, RAID, Governance, Delivery, Money and people, and Documents. See Finding your way around a project.
  • Press Ctrl K (or ⌘ K on a Mac) anywhere to search for a project and jump to it.

Key ideas in one line each

  • RAG: a project's health in three colours. Green is On track, amber is At risk and red is Off track.
  • Platform and method: each project is on a platform, such as SAP S/4HANA, Oracle Fusion Cloud, Workday, Salesforce, Microsoft Dynamics 365, ServiceNow, Oracle NetSuite or Infor CloudSuite. It runs on the platform's own method, such as SAP Activate or the Workday Deployment methodology, or on Waterfall, Agile or Hybrid. The method gives the project its phases and quality gates, and the project records which phase it is in.
  • EAC (forecast at completion): what the project is expected to have cost when it finishes.
  • Build objects: the custom objects a programme designs and builds, such as workflows, reports, interfaces, conversions, extensions and forms. Each platform has its own name for them: WRICEF objects on SAP, CEMLIs on Oracle E-Business Suite, user stories on Salesforce.
  • RAID: risks, actions, issues and decisions, the four logs every project keeps.

Good to know

  • Your workspace is private until you invite people. Only you see it at first.
  • Which modules you see depends on the company's plan. The Free plan covers the core: plan, milestones, build objects, RAID and governance (quality gates, meetings and lessons learned). Pro adds every other module, dashboards, e-signature and the AI agents with your own AI key. See Plans and pricing.
  • What you can change inside a project depends on your role there. See Roles and permissions.
  • A project manager can switch off modules a project does not use. They leave the menu for everyone on that project, and their data is kept.
