A project is one implementation: a Workday rollout, an SAP S/4HANA migration, a Salesforce org, an upgrade, a support contract or anything else you run. You create it inside a company, and from then on it has its own plan, logs, modules and team.
Before you start
Have these ready
- The company the project belongs to (see Create your account and company)
- The platform the programme implements, such as SAP S/4HANA, Oracle Fusion Cloud, Workday or Salesforce
- How you will run it: the platform's own method, or Waterfall, Agile or Hybrid
- A project name, and a project code if you use them
- A start date and an end date
How to create a project
- Find the company
Open Projects in the left rail. Next to the company name, select New project. On the company's own page, the button is Add project.
- Platform
Choose the Platform: SAP S/4HANA, Oracle Fusion Cloud, Oracle E-Business Suite, Workday, Salesforce, Microsoft Dynamics 365, ServiceNow, Oracle NetSuite, Infor CloudSuite or Other software. Each choice shows the method it starts from. The platform sets the phases, gates and words the project uses.
- Method and project type
Choose the Method: the platform's own method (for example SAP Activate, Workday Deployment methodology or SuiteSuccess), or Waterfall, Agile or Hybrid. The form lists the phases the project starts with and how many quality gates come with them. Then pick a Project type from the ones that apply to the platform: New implementation (greenfield), Migration or conversion, Phased rollout, Upgrade or release, Support and run, Add a module, New tenant, org or instance, or Custom.
- Identity
Type the Project name. Add a Project code if you like (the placeholder suggests one from the company short code) and a short Description.
- Timeline
On the platform's own method, choose the Current phase. Enter the Start date and End date.
- Status, health and budget
Set the Status, the Scope status, the Overall health and the Cost health. Optionally enter the Budget, Currency, Contingency and Forecast at completion.
- Create it
Select Create project. Its card appears under the company. Open the card to go into the project.
What the method gives the project
Every new project starts with its method's phases and quality gates, with their criteria. On the platform's own method, each phase is also added to the plan as a row, spread between your start and end dates. You can then add tasks under each phase and change the dates.
The platform's own method
- Its phases, with a row for each in the plan
- Its quality gates between the phases
- The current phase on the card, "phase 3 of 6"
Waterfall, Agile or Hybrid
- The method's phases and quality gates
- The plan starts empty
- Its stage comes from its quality gates: passing a gate moves it
The phases and gates are a starting point. A project manager can rename, add, remove and reorder the phases in Project settings, Phases, and change the gate criteria on the Quality gates tab.
The platform's words
The platform also sets the words the project uses. The build list is WRICEF objects on SAP S/4HANA, CEMLIs on Oracle E-Business Suite, Extensions and integrations on Oracle Fusion Cloud, Integrations, reports and business processes on Workday, User stories on Salesforce, Stories on ServiceNow and Customisations on NetSuite. Data loads, test cycles, environments and the go-live plan follow it too, such as mock loads and Cutover on SAP, or tenant builds and Move to Production on Workday.
Good to know
- The Platform, Project name, Start date and End date are required. The end date must be after the start date.
- The Currency list has every active ISO 4217 currency, with the most used ones first, each with its name, such as Euro (EUR).
- Workstream lists follow the platform: SAP S/4HANA projects offer the SAP modules, then the business streams; projects on other platforms offer the business streams, such as Finance, Sales, Service and HR and payroll.
- Overall health is the RAG: On track (green), At risk (amber) or Off track (red). It shows on the card and at the top of every project page.
- Forecast at completion (EAC) is what you expect the project to cost in the end. Until the project has budget lines, the portfolio uses this figure and the Budget you enter here.
- The Free plan allows up to 2 projects. When the limit is reached, the company page says so. Pro, Enterprise and Lifetime have no project limit.
- Later, a project admin can rename the project and change its code and description (Project profile), edit its phases (Phases), switch modules off (Modules), and archive or delete it (Data). All of these are in Project settings, under ⋯ next to "In this project".
Who can do this
The company owner, and people whose company role is Admin or Project manager.
